Reporting Section (Reporting Email)

I. Reporting Channel

To encourage the reporting of misconduct and to maintain dormitory order and living quality, the Residential College and Housing Services Section of Asia University provides a dedicated reporting email.
If you observe any inappropriate behavior or violations committed by dormitory staff or residents, please provide relevant evidence and contact us via the designated email: dss@asia.edu.tw.

II. Reportable Matters

(1) Smoking
(2) Keeping pets
(3) Littering
(4) Theft
(5) Possession of prohibited items
(6) Violations of laws or regulations
(7) Any other behavior that may disrupt dormitory order or harm the University’s reputation

III. Reporting Method

Reports may be submitted via email and should include the following information:
(1) Name and contact phone number of the reporter
(2) Name of the reported individual or other identifying information
(3) Detailed description of the incident and supporting evidence

IV. Cases That May Not Be Processed

(1) Anonymous reports or reports not submitted under a real name
(However, this does not apply if the report includes specific details or verifiable evidence.)

(2) Reports that are malicious, false, inconsistent with facts, or lack sufficient detail
(3) Repeated reports of the same case after it has been processed and a response has been provided
(Except where new and specific evidence is submitted.)

(4) Matters that fall outside the scope of reportable items

Notice and Consent for the Collection, Processing, and Use of Personal Data

The Residential College and Housing Services Section of Asia University (hereinafter referred to as “the Section”) collects, processes, and uses your personal data for the purpose of handling and responding to reports. To protect your rights, please read the following carefully:

1. Purpose of Collection

Handling reports and subsequent communication

2. Categories of Personal Data

(C001) Identifying information: name, email address, phone number

3. Period, Area, Recipients, and Method of Use

(1) Period: Retained for 5 years from the date of collection
(2) Area: Within Asia University
(3) Recipients: The Section and authorized entities in accordance with the law
(4) Method: Collected, processed, and used in paper or electronic form

4. Rights of the Data Subject

In accordance with Article 3 of the Personal Data Protection Act, you have the right to:
  • Access or review your data
  • Request copies
  • Request supplementation or correction
  • Request cessation of collection, processing, or use
  • Request deletion
However, deletion may not be permitted within the retention period if required by law or for operational needs.

5. Impact of Not Providing Data

Failure to provide the required personal data may result in the Section being unable to process or respond to your report.
